Onboarding
 
The role holder will predominantly handle Onboarding; key tasks outlined below:
 

  • Coordinating logistics for interviews and assessment centres.
  • In-country contact and coordinator with offshore onboarding support team and candidates during the Pre-employment verification stage.
  • Responsible for offer letter and contract issuance of all candidates depending on Employee class, grade and Variable Bonus.
  • Liaising with Property Department, Operations and Hiring Managers to ensure the readiness of the candidates' Bank ID and logistics of Day 1 respectively and facilitate a smooth onboarding of New Joiners.
  • Creation and completion of the hard copy Personnel files within the first month of the candidate's joining date.
  • Reviewing and approving digital Personnel files
  • Reconciling Third party Verification supplier payments on a monthly basis and coordinating with Finance to ensure that payment is released in line with Vendor Agreement.
  • Query resolution: Relationship management drive to take ownership of any queries/contingencies that new hires may be having before and after joining the Bank.
  • Project management: Multi-tasking to ensure new hires have access to all required equipment's/departments/ technology tools on the date of joining. This will include coordination with Line Managers/Talent Acquisition team, creation of system requests, coordination with property, lining up for induction and business readiness programs, coordination of welcome messages, completion of form formalities, and follow-up with concerned departments to take matters to logical conclusion.
  • Stakeholder engagement: Interact with multiple stakeholders to ensure all the key Onboarding activities are well-synchronised and coordinated.
  • Reporting and Dashboards: Manage new hires MIS and online surveys and seek inputs on process improvements. Take required steps to work on the feedback received.

 
Governance
 

  • Respect and thoroughly follow the governance and compliance guidelines, to ensure all activities are done with the right process, completed in time, and are creating the right impact. Includes supporting the Pre-employment Employee Verification process (PEEV), where required and adhering to the Group Staff Screening Policy during recruitment stage.

 
Talent Acquisition
 

  • Responsible for Liaising with Job Opening team to ensure the Job Requisition (JR) raised has appropriate approvals for junior / entry level hires.
  • Conducting a Business Needs discussion with the Line Manager and uploading the document on the JR for audit purpose.
  • Creating Job adverts and using the appropriate advertising channels. E.g. Internal careers, external website and other job posting sites where required.
  • Sourcing candidates and conducting telephone interviews.
  • Liaising with Line Managers and conducting interviews with the shortlisted candidates.
  • Ensuring the JR is fully complete with all required fields, including offer details (including offer approval emails where necessary) and closing the hire on Taleo.
  • Completing an interview evaluation form for each hire and getting signature from Line Manager.

 
QUALIFICATIONS:
 

  • Strong command of spoken and written English
  • Prior experience in onboarding or recruitment
  • Able to deal with high hiring volumes, managing recruitments across a variety of disciplines
  • Attention to detail to ensure first-time-right performance of all activities assigned
  • Commitment to complete the responsibilities and willingness to work extended hours when required
  • Ability to prioritise, multitask and handle different competing initiatives concurrently
  • Confident individual who is able to communicate and engage with people of varying background and seniority levels
  • Ability to work in a fast-paced environment and complete tasks effectively with minimum supervision
  • Keen eye to detail to ensure service level agreements and standards are adhered to
  • Proficient in MS office applications
