About the role
As our Administrative Assistant, your duties involve managing general office duties to ensure company processes run smoothly. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
 
A day in the life of our Administrative Assistant
•Performs clerical duties such as mailing and filing paperwork, placing orders, and answering the phone.
•Types correspondence, meeting notes, forms, and other documents as needed.
•Perform work-related errands as required, such as going to the post office, bank, and other departments, as necessary.
•Makes photocopies, scans, and files relevant documents
•Signs for packages that have been delivered and distributes them to the right recipient.
•Supervise and purchase office supplies, predicting needs, stocking supply stations, distributing goods, housekeeping as needed, and ensuring that equipment is still in good condition.
•Serve as the office's eyes and ears, providing information, answering inquiries, handling back-office operations, handling quotations & bills as well as responding to requests.
•Maintain a clean, stocked, and organized office in the kitchen, conference rooms, stock and storage rooms/closets, and social spaces.
•Maintain office file and databases in a confidential manner, as well as retrieve information as needed.
•Coordinate and manage administrative records for staff, such as car parking, phones and laptops
Installation, operation, and maintenance of computer systems and other technologies
•Configuring hardware and software, setting up peripherals such as printers or routers, repairing equipment, and providing daily support for computer network users.
•Install, maintain, and operate the computer network systems for businesses .
•As needed, provide ad hoc assistance to the office and other staff members and departments, including coordinating onsite and offsite team events.
•Improves the organization's reputation by accepting responsibility for completing new and different requests, as well as exploring opportunities to add value to job accomplishments.
•Participates in education programs to keep job knowledge up to date.
•Running errands and doing typical Administrative responsibilities.
 
About you (Qualifications, Knowledge, Skills & Abilities)
•Good oral, writing, and interpersonal communication skills
•Capable of creating good connections with peers at all levels of the organization as well as externally
•The capacity to prioritize and manage while adhering to tight deadlines
•Excellent time management and multitasking capabilities
•Microsoft Office proficient (MS Word / Power Point / Excel) having understanding of software, systems, computer hardware, and networking
•High School Diploma or equivalent qualifications
•2-3 years of relevant experience in an office setting, preferably in an administrative or clerical role
•Ability to work well under limited supervision
•Comfortable handling confidential information
•Proven administrative experience
•Healthy dose of optimism when faced with challenges
•Dedication to continuously improve and develop your strengths & talents
•Ability to analyze and revise operating practices to improve efficiency
•Detail oriented and comfortable working in a fast-paced office environment
•A strong identification with Adventus values
